Almost full forfeiture. Limited refund possible.

No refund is possible. Full tour cost is forfeited.

⚠️ Critical: Wildlife Permit Policy

Gorilla trekking permits, chimpanzee tracking permits, and golden monkey permits are purchased from the Uganda Wildlife Authority (UWA) on your behalf and are strictly non-refundable and non-transferable once issued — regardless of when you cancel.

Permit costs (typically USD 800–1,500 per person depending on activity) will be deducted from any refund due. This is a UWA regulation beyond Roam Beyond Tours' control. Travel insurance with cancellation cover is the only protection against this loss.

Any due refund is processed within 14 business days by original payment method

The date of your written cancellation email determines the applicable fee tier. Verbal or phone cancellations are not accepted as official cancellation requests.

Date Changes & Postponement

We understand that life is unpredictable. If you wish to postpone rather than cancel:

  • Postponement requests made 60+ days before departure are accommodated at no amendment fee (subject to availability and permit reissuance)
  • Postponements within 30–59 days incur a 15% rescheduling fee
  • Postponements within 30 days are treated as cancellations under the standard fee schedule
  • Travel credits are valid for 24 months from the original departure date
  • Safari credits cannot be exchanged for cash and are non-transferable
Cancellation by Roam Beyond Tours

In rare circumstances, RBT may cancel a tour due to safety concerns, minimum group numbers not being met, force majeure events, or government travel advisories. If we cancel:

  • You will receive a full refund of all monies paid to RBT within 14 business days
  • Alternatively, we will offer a credit note of equivalent value for future travel
  • We will assist you in reclaiming non-recoverable permit costs where possible
  • RBT is not liable for third-party costs (flights, visas, accommodation) arising from our cancellation
Partial Cancellations

If one member of a group cancels while others proceed, the individual cancellation fees above apply to that person's share of the tour cost. The remaining group members may continue with the tour. Single supplement charges may apply to the remaining travellers if a shared room was allocated. RBT will advise on any price adjustments within 5 business days of notification.

Travel Insurance: Your Essential Safeguard

Comprehensive travel insurance with cancellation cover is the only way to protect yourself fully against these fees. We require all clients to hold valid insurance before departure. Look for policies covering trip cancellation, medical evacuation (min. USD 100,000), and adventure activities including primate trekking. Contact us if you need guidance on suitable providers.

Refund Processing

All approved refunds are returned via the original payment method. Processing timelines:

  • Bank wire transfers: 5–10 business days after processing
  • Credit/debit card refunds: 7–14 business days (varies by issuing bank)
  • Mobile money: 1–3 business days

RBT cannot be held responsible for delays caused by your bank or payment processor. All refunds are issued in USD. Currency fluctuations between original payment and refund date are the Client's responsibility.
